How to Book
For information on how to book and to view the bookings diary, please refer to the Shutford Village Website. An online booking system may be available, similar to other village halls, where availability can be checked and a booking form completed. Private bookings are only available to residents within the community, or persons whose booking is supported by a member of the community. The community resident takes full responsibility for the event, including payments, deposits, and any damage. They are responsible for additional payments if repairs or cleaning exceed the deposit. Commercial bookings are only accepted if the hirer holds full Public Liability Insurance. Hire charges are to be received at least 7 days before the day of use. A returnable deposit of £150 may be required at the time of booking. This deposit covers late cancellation or damage. Remaining deposits are returned after the event. Regular hirers should discuss payment arrangements with the Hall Committee. Normal end time is no later than 11 p.m. Later finish times require liaison with the Hall Committee. Hirer must be over 18 years of age. Adherence to fire regulations; all external doors, especially french doors, must be unlocked throughout the hire period. Adherence to hire times. Hall must be cleared immediately after the function (unless by prior arrangement) and left in the same condition as found. All supplied equipment (chairs, tables) must be put away in the storeroom as indicated. All hirer's own equipment must be cleared away. All doors locked and windows closed once the hall is vacated. Keys returned as instructed. Areas used, including the kitchen, must be left clean and tidy to avoid a cleaning charge. All rubbish must be taken away by the hirer. Observance of occupancy levels is a mandatory legal requirement. Strict No Smoking policy applies to all areas; no naked flames or candles permitted. No heavy or sharp equipment likely to damage the floor. No sticky substances, nails, pins, etc., on walls, ceilings, or floors. Control excessive noise or disturbance of others. Minors must be adequately supervised.
