How to Book

A hire is not confirmed until a completed application form has been received by the Town Hall Office. The booking form must nominate a person over 18 years of age responsible for the function. The hire charge is payable in full at the time of booking. Bookings cancelled with less than 10 days' notice will be charged at the full rate. The Town Council reserves the right to refuse lettings. Hirers must remove all refuse and clean all areas used. Keys can be collected up to 24 hours before the event and returned as soon as possible thereafter. Payment is required via BACS Transfer to Fordingbridge Town Council (Account Number: 01108381, Sort Code: 309708). Please stipulate organisation or surname as payment reference. Hirers requiring a Use of Premises or PRS Music licence need to provide 4 weeks' notice. The Town Hall holds a Premises licence for the sale of alcohol and regulated entertainment. Hirers are responsible for ensuring compliance with licensing conditions and providing additional licence cover if required. Additional charges: Projector hire £12 per session; Premises Licence (to allow sale/serving of alcohol) £15 per session; PRS Music Licence (live music) £25 per session; PRS Music Licence (recorded music/film shows) £7 per session; Setup and Clearing (including chairs, tables, staging or Art Club stands) £30 per hire. A 10% discount is available for multiple bookings of 8 or more. All other bookings on request. Hourly rates may be charged at the discretion of the Clerk. Hirers are responsible for any damage, loss or defacement incurred during their hire period. No responsibility is accepted for damage, loss or theft of property deposited on the premises.
