How to Book

Applications must be made using the official booking form. Bookings are provisional until a completed and signed booking form is received. Keys must be collected from the Parish Office. An invoice will be issued for the full amount. Organisations must have public liability insurance cover with a minimum indemnity of £5 million. Private hirers can be provided with public liability insurance for an additional 10% of the booking fee. Hirers wishing to sell alcoholic drinks must complete a separate application form for permission to sell alcohol. Hire period must include time for setting up and clearing up. The hall, kitchen, and foyer must be left in the same clean and tidy condition as found. A broom, mop, and dustpan and brush are available in the kitchen. No recycling facilities are available; hirers must take any recyclable materials away. All waste bins, including nappy bins, must be cleared, liners renewed, and rubbish placed in the dustbin in the entrance hallway. Any deposit made shall be forfeited upon cancellation. If cancellation is made within 21 days of the hire date, the full hire charge becomes due. A refund may be given at the Council's discretion if the Pavilion is re-hired for the booked date. A £25 charge is levied for pitch and hall bookings cancelled due to bad weather. Hire of the main part of the Pavilion (hall, meeting room, kitchen, toilets) is subject to VAT. Public liability insurance and the hire of pitches and changing rooms are VAT-exempt. A 10% discount is available for U16's youth groups where the majority of members are based in Yatton and Claverham. No sub-letting of the Pavilion or any part of it. Exits must not be blocked or restricted. No bouncy castles are permitted. No smoke machines are permitted. Alcohol is not permitted outside the building (designated alcohol-free area). Hirers are not permitted to set up for events on any day other than the booking day unless prior permission is obtained. The Council is not liable for loss or damage to property in or around the pavilion or car park. Hirers should bring their own tea towels. Ensure the front gate is open during your hire. If expecting more than nine cars, open the yellow barrier to the overflow car park (combinations on keyring). A single key operates both front door locks. If using the kitchen, provide your own tea, coffee, milk, etc. Wash and dry any used utensils and ensure no food is left. Do not adjust radiator thermostats if heating is on; use the wall thermostat behind the bar area and reset to 17°C upon leaving. Be aware the Parish Office is downstairs and staff may use the kitchen. Do not attempt to open patio or folding doors unless a key is provided, as this can cause damage. Ensure they are securely fastened and locked if opened. Prevent muddy feet from entering the hall from the field; a change of footwear is recommended for children using both areas. A 'Schedule of Charges for hall and pitch hire' is available from Yatton Parish Council upon request.
