How to Book

Provisional bookings normally held for a maximum of 14 days. 25% of the hire charge required upon confirmation. Balance payment normally required one month before the event. Refundable deposit required against damage. Cancellation policy: Some payment may be refundable, depending on the length of time before the event. Hirer responsibilities include opening/securing the building, setting up/putting away furniture, tidying up and disposing of own rubbish, familiarization with fire and security systems, carrying out a simple risk assessment, providing evidence of adequate public liability insurance, ensuring those involved in food preparation/serving are appropriately trained (if kitchen used), and complying with St. John's safeguarding policy for activities involving children (under 18) or vulnerable adults. All bookings must include adequate time for arrival/setting up and clearing away. A minimum of 15 minutes for set up + 15 minutes for clear away will be chargeable. Additional charges: AV Equipment Charge: £40 (must be set up by authorised parish representatives only). Kitchen Use Charges: Food Preparation/Cooking/Serving: £72.00 per session; Serve Pre-Prepared Food Only: £30.00 per session; Serve Drinks Only: £18.00 per session; Filter Coffee and Machine Use: £5.00 per flask (10-12 cups). Technical Support Callout: £27.50 per hour (or part). Setup/Clear Away Assistance: £27.50 basic setup, £27.50 basic clear away. Discounted rates for regular (weekly) hires will be considered. Hirers need to advise if music, performing arts, or alcohol consumption are planned, as additional licenses may be required.
