Enquiries & replies

Reply to a hall enquiry

Answer a general enquiry and tell the hirer what to do next.

Where to goYour hall → Enquiries → Needs attention

Read it, then reply

  1. Select the enquiry under Needs you. Check its event, room, date and times against your diary. If a date or time is missing, ask for it before promising availability.
  2. Choose the appropriate reply: Yes, it’s free, Sorry, not then, or the I’ll ring [name] option to arrange a call. Read the reply wording shown; if no phone was given, the reply asks for one.
  3. Use Add a line of your own for the next step—for example, ask for dates, explain the price or say how to pay a deposit.
  4. Read any diary-hold option and its expiry before sending. Choose Send to [name], then read the confirmation and email countdown. Use Undo during that countdown if needed.
This enquiry has no date, so the reply asks for dates and does not pencil in a booking.

Example screens: use your own hall and booking details. On a small screen, scroll within the image.

Seeing an Accept button instead?

That is a booking request for a particular slot. Use the Accept a booking request guide below. If a room is unavailable, suggest another time or decline rather than confirming the wrong slot.

Finish the conversation

Find the enquiry again under Answered. If you chose to ring the hirer, make that call; the reply does not call them for you. A reply saying the room is available is not a confirmed booking.

When agreed, use Accept on the linked request if available, or add the booking to the diary. If you sent the wrong reply and Undo has ended, contact the hirer to correct it. If the result reports an email problem, do not assume they received your answer.
